Ask specifically about how staff are trained to approach delicate or specialist materials: natural stone, polished metals, lacquered furniture, specialist textiles, and integrated technology systems. A company that cannot give a coherent answer — or that dismisses the question as unnecessary — is likely not the right fit for a property where mistakes can be costly to repair. Training is also relevant to how new staff are introduced to a specific property. The best-run services brief new team members on a property's specific features and priorities before their first visit, ideally with reference to a documented property profile. This reduces the risk of a new person inadvertently using the wrong product or technique on a surface they have not encountered before. It is also reasonable to ask whether the same team will return to your property on subsequent visits, or whether staff rotate. Consistency of team members carries practical value: familiarity with the property reduces briefing time, reduces the risk of errors caused by unfamiliarity, and makes it more likely that small changes or emerging issues will be noticed.

Look for Transparency and Communication

A cleaning service that communicates clearly and consistently is significantly easier to work with, particularly for owners who manage their property from abroad. Before agreeing a service, it is worth understanding how the company will keep you informed: what happens after each visit, how issues observed during a clean are reported, and what the process is if something goes wrong. Some services provide written visit reports or photographic updates after each clean; others rely on the owner or their representative contacting them if there are concerns. For owners who are not present at the property regularly, the former approach is considerably more reassuring. Asking to see an example of how previous clients have been kept informed can give a realistic sense of what to expect. Transparency about staffing is also relevant. If a regular team member is unavailable, how is this communicated, and how is the replacement briefed on the property's requirements? A company that has clear, considered answers to these questions has thought through the practicalities of service continuity, which matters more than it might appear during an initial discussion. Pricing transparency matters too. A clear, itemised proposal that specifies what is included in a regular clean, what falls under additional or occasional services, and how costs are reviewed over time is preferable to a verbal arrangement that leaves room for ambiguity. Understanding what you are paying for, and what is outside the agreed scope, prevents misunderstandings later.

Assess Discretion and Professionalism

For owners of luxury properties, discretion is not an optional extra but a fundamental requirement. A cleaning team that has access to a property has access to personal information, valuables, private spaces, and potentially sensitive details about the owner's life and schedule. The company's approach to confidentiality should be clear, not assumed. This is worth exploring directly in conversation. How does the company approach confidentiality with staff? Is there a formal agreement that staff sign? How are team members vetted before being given access to clients' properties? What would happen if a staff member shared information about a client's property or schedule outside the work context? None of these questions should be uncomfortable to ask of a professional company. A company that gives thoughtful, specific answers demonstrates that these are issues they have considered carefully. Vague or dismissive responses should be a caution signal. Professionalism in presentation, communication, and conduct also matters. A company that responds to initial enquiries promptly and clearly, that provides detailed written proposals, and whose staff present themselves appropriately at the property is demonstrating a level of professionalism that is likely to carry through into the quality of the work. Finally, asking for references from existing clients with comparable properties — and following up on those references — remains one of the most reliable ways to form a realistic view of what a cleaning company is actually like to work with day to day.

Agreeing the Scope Before Starting

Once you have identified a company that meets your criteria on experience, communication, and discretion, the next step is agreeing a clear scope of work before the service begins. This is a practical necessity, not a formality, and it benefits both parties. A well-defined scope specifies which areas of the property are included, what tasks are covered in each visit, which products are to be used or avoided, what the agreed frequency of each task is, and how quality is to be reviewed. It should also address practical logistics: how access to the property is managed, how the team is to be met or let in, and who the owner's point of contact is for day-to-day queries. The scope is also the document to return to if questions arise about what was or was not agreed. Having this in writing — even as a clear email exchange rather than a formal contract — makes it much easier to resolve any differences that arise during the service relationship, without the conversation having to rely on competing recollections of a verbal discussion.
