How to prepare a villa before guests arrive

Build the checklist around the stay

Confirm arrival time, guest numbers, access instructions, linen requirements, consumables supplied by the owner, and any agreed welcome details. Keep the checklist specific to the property.

Separate preparation tasks from observations. A cleaner can report a visible issue, but a trade should assess electrical, plumbing, gas, structural, or equipment faults.

  1. Air and clean the rooms included in the agreed scope.
  2. Prepare beds, towels, bathrooms, kitchen, terraces, and entry points for the expected use.
  3. Check that owner-provided supplies are presented consistently and note anything visibly missing.
  4. Share completion notes or photographs only when included in the agreed communication plan.

Make access and handover clear

Test access using the owner-approved method without changing codes or keys unless that task has been explicitly agreed. Leave guest instructions where the host has requested them and avoid displaying private information.

If a problem prevents a safe or usable arrival, record it clearly and escalate it to the owner or appropriate professional rather than improvising a repair.
